Reconcile Quaderno invoices and VAT from the orders list

Quaderno for WooCommerce issues VAT-compliant invoices for EU and worldwide sales, captures B2B VAT IDs via VIES validation, and pushes the data into Quaderno's reporting engine. The Quaderno invoice ID, VIES validation result, customer country, and VAT scheme (B2C, B2B reverse charge, OSS) all live in wc_orders_meta keys the plugin writes. The default WooCommerce orders list doesn't show any of that.

SleekView reads wc_orders and joins Quaderno's meta keys as columns. A finance view shows order ID, customer country, VAT ID, VAT scheme, Quaderno invoice ID, and invoice status side by side. Filter to OSS-eligible orders shipping to Germany for the quarterly OSS return, or to orders missing a Quaderno invoice because the API call failed.

Inline edits route through WooCommerce CRUD where supported, so updating a VAT ID or country fires the order-update hooks Quaderno listens for. Re-trigger missing invoices in bulk by toggling the relevant meta flag, instead of clicking into each order one by one.

Workflow

Compose Quaderno-aware order views

1

Pick the orders source

wc_orders on HPOS, shop_order posts on legacy. SleekView detects the schema automatically; same view config works on both.
2

Add Quaderno meta columns

Invoice ID, VAT scheme, VIES result, and country from wc_orders_meta appear in the column picker scoped to keys present in your data.
3

Save scoped views

"OSS Germany Q2", "Failed invoices", "Invalid VIES" — each is a saved view with filter, sort, and column set. Gate per WordPress capability.
4

Edit inline through CRUD

Retry invoices, update VAT IDs, change destination country. Order-update hooks fire so Quaderno's queue picks up the change on the next scheduled run.

Sample columns

A typical Quaderno invoices view

SleekView joins wc_orders with Quaderno's wc_orders_meta so VAT, invoice, and country sit on one row.

Comparison

Default Quaderno for WooCommerce admin vs SleekView

Default Quaderno for WooCommerce admin

  • Quaderno invoice ID and VAT scheme not surfaced on the orders list
  • VIES validation result hidden in wc_orders_meta
  • No filter for "Invoice pending or failed" for daily triage
  • OSS-eligible orders not separable from non-OSS without custom code
  • Re-triggering failed Quaderno invoices requires opening each order

SleekView

  • Surface invoice ID, VAT scheme, and VIES result as first-class columns
  • Filter OSS-eligible orders per destination country and period
  • Save "Invoice failed" view checked daily by finance
  • Bulk-retry invoice creation through CRUD with order hooks firing
  • Switch between table and kanban grouped by VAT scheme

Features

What SleekView gives you for Quaderno for WooCommerce

Invoice + VAT columns

Quaderno invoice ID, VAT scheme, VIES validation result, and customer country all sourced from wc_orders_meta. Sort by country to spot OSS-eligible patterns by jurisdiction.

Period + scheme filters

Save "OSS Germany, Q2 2025" as a finance view filtered by country, scheme, and date range. Reconciliation against Quaderno's report becomes a side-by-side comparison.

Retry failed invoices in bulk

Filter to orders where invoice status is failed, then bulk-toggle the retry meta flag. Quaderno's scheduled queue picks them up on the next run, without per-order clicks.

Audience

Who uses SleekView for Quaderno + WooCommerce

EU finance and tax ops

OSS reconciliation by destination country and period in a saved view. Match against Quaderno's quarterly OSS export without spinning up a spreadsheet.

Accounting teams

Invoice IDs joined with order totals and customer data. Audit which orders are missing an invoice and re-trigger creation through CRUD without opening Quaderno's UI.

Compliance leads

Filter to B2B reverse-charge orders with missing or invalid VAT IDs. Catch VIES validation regressions before they appear in an audit.

The bigger picture

Why EU finance teams need a queryable Quaderno view

Selling digital products and physical goods across the EU means OSS returns, B2B reverse-charge invoices, VIES VAT-ID validation, and worldwide tax regimes for non-EU markets. Quaderno handles the issuing and the reporting, but the data that proves a return is correct (invoice IDs, VAT schemes, VIES results, destination countries) lives in wc_orders_meta where the default WooCommerce orders list cannot reach it. Finance teams export to spreadsheets, accounting teams chase missing invoices order by order, and compliance teams notice VIES regressions only at audit time.

SleekView turns the orders list into a queryable view with invoice ID, VAT scheme, and VIES status as columns. OSS reconciliation by country and period becomes a saved view, not a quarterly project. Failed-invoice retries become a bulk inline action, not a click-through.

And the audit trail stays inside WordPress, on the same orders the rest of the operations team already work with. Quaderno does the calculation; SleekView makes the result actionable.
