SleekView for WP Document Revisions

SleekView reads the document CPT, its workflow_state taxonomy terms, owner ID, and revision count, then renders the controlled-document estate as a sortable, filterable table. The default CPT screen handles edits, the table handles governance and audit.

Audit trails are only useful if someone can read them at a glance.

WP Document Revisions stores controlled documents as a document custom post type with a workflow_state taxonomy (Draft, In Review, Final, Archived) and a document owner stamped through post meta or post_author. Every save creates a real WordPress revision, so wp_posts accumulates a long version history per parent document.

SleekView reads the document CPT, its workflow_state taxonomy, owner ID joined to wp_users, and a count of attached revisions per parent. Workflow state, owner name, and revision count sit as real columns alongside title and modified date. Filter to In-Review documents owned by a specific lead, sort by revision count to find the most-edited policies, or pull every Archived document from last quarter without leaving the table.

Inline edits go through the standard CPT update path, so workflow_state change actions still fire, email notifications still trigger, and access-control capabilities still apply. Reassign owners across stuck drafts in one pass, or move a batch of approved drafts to Final from the row.

Workflow

How SleekView reads WP Document Revisions data

1

Pick the document CPT

Choose the document post type. SleekView lists every wp_posts column plus the workflow_state taxonomy, owner, and revision count derived from the post_parent join.
2

Compose the column set

Add title, workflow state, owner, revision count, and modified date. Hide internal slugs so the table matches a compliance workflow.
3

Save and scope the view

Name it ("Stuck in review", "HR policies due for refresh") and gate by WordPress capability so compliance, HR, and legal each see their own slice.
4

Edit inline or export

Bulk-move state, reassign owners, or export the filtered set to CSV. State transitions fire WP Document Revisions hooks so notifications still trigger.

Sample columns

A typical WP Document Revisions governance table

SleekView joins the document CPT with workflow_state taxonomy and owner ID so workflow, owner, and revision count sit as real columns alongside the document title.

Comparison

Default WP Document Revisions admin vs SleekView

Default WP Document Revisions admin

  • Standard CPT list with title, author, date, no workflow_state column
  • Owner load only visible by filtering one author at a time
  • Revision counts hidden inside the per-document revision screen
  • No combined filter for workflow plus owner plus modified date
  • Bulk state transitions require opening each document

SleekView

  • Reads document CPT, workflow_state taxonomy, owner ID, and revision counts directly
  • Workflow, owner, and revision count as sortable columns
  • Inline state transitions trigger WP Document Revisions hooks
  • Save filtered views per team ("HR policies due", "Legal final approvals")
  • Honours document-level access control so users only see what they may edit

Features

What SleekView gives you for WP Document Revisions

Workflow as a sortable column

Workflow_state moves from a hidden taxonomy term to a sortable column. Filtering to In-Review documents older than two weeks becomes a one-click query.

Inline state transitions

Bulk-move approved drafts to Final or reassign owners across stuck drafts. Every change fires the workflow_state action so notifications still trigger.

Compose audit-ready filters

Combine workflow, owner, revision count, and modified date into a saved filter. Quarterly governance reviews start with a named view, not a CSV export.

Audience

Who uses SleekView for WP Document Revisions

Compliance and quality teams

Filter to documents not modified in the last twelve months and reassign owners in the row. Quarterly governance reviews open the named view instead of rebuilding a report.

HR policy administrators

Saved view for HR policies sorted by last modified surfaces what needs the next refresh. Inline state transitions move approved drafts to Final in one pass.

Board governance

Per-team views give finance, legal, and operations each a scoped table. Board minutes attach the CSV export of the relevant slice as audit evidence.

The bigger picture

Why WP Document Revisions deserves a governance table

WP Document Revisions exists because regulated organisations need versioned documents with workflow states, owners, and audit trails that the default WordPress post table does not provide. The trade-off is that the audit trail is only useful if someone can read it at a glance, and the CPT list is not built for governance. Compliance officers cannot answer questions like how many drafts are stuck in review or how many policies have not been touched this year by scrolling a standard post-type table.

SleekView reads the document CPT, workflow_state taxonomy, owner ID, and revision counts and exposes them as one sortable grid. The default admin keeps its per-document editorial role, the table becomes the governance surface that audits and reviews can actually start from.

Questions

Common questions about SleekView for WP Document Revisions

Yes. SleekView reads whatever terms are registered under the workflow_state taxonomy, so custom states like Pending Legal or Final Approved show in the column and the filters.

Yes. SleekView counts revision rows in wp_posts attached to each parent document, so the column shows the same number you would get by opening the revision screen.

Yes. Inline edits fire the workflow_state change action, so email notifications and any custom hooks attached to state transitions still run.

Yes. SleekView honours WP Document Revisions capabilities, so a user only sees documents they have permission to view.

Yes. The filtered table exports to CSV with the same columns the view shows, ready to attach to audit minutes or send to an external auditor.

Archived documents are a workflow_state term, so they appear as one filterable value. A toggle excludes them from active-governance views.

No. SleekView paginates the document CPT and resolves taxonomy and owner joins per page, so large estates render sub-second.

Yes. Saved views scope by taxonomy, owner, or category, so HR, finance, and legal each pin a table filtered to their own document set.
